Controlled Billed Account
How to use the UNO Controlled Billing Account (CBA):
A CBA is a direct bill charge account with VISA to be used only for charging airfare, lodging, vehicle rentals, and conference registration fees. The CBA account is managed by the Travel Office in Accounts Payable, located in the Administration Bldg. Room 205.
The use of the CBA may be allowed for the following reasons:
- Employees who need to make purchases but do not travel frequently enough to warrant having their own state liability travel card or are ineligible to apply for one.
- New employees who have not had time to apply for and receive the state liability travel card.
- Airfare, lodging, or vehicle rentals for visitors being brought to campus (or to other university sanctioned locations) for functions, meetings, interviews, conferences, etc.
- Travel arrangements for students or student groups representing the University
How to request to use the CBA:
A travel authorization with the correct dates and location for the trip must be completed and approved before any charges can be made to the CBA. In addition, any special requests must be indicated on the form and approved by the President via the travel authorization workflow.
Appointments should be made with the Travel Office to coordinate the payment of lodging, vehicle rentals, and conference registration fees. Please plan to give the Travel Office ample time (at least two weeks) to complete payment and travel arrangements. Payments for airfare should be requested through the Short’s Travel Website.
A VISA billing statement will be sent to the A/P office with charges for the CBA on a monthly basis. In order to reconcile and pay the bill, the university's coordinator for travel card services will require that the traveler deliver to the A/P Office all original receipts from any airfare, lodging, vehicle rentals, conference registration fees, and/or other charges immediately upon returning from their trip. It is suggested that a copy of the paperwork be retained in the department.
